We know plans can change in an instant, especially for those who serve. At Parang Tour, we deeply respect the commitment of active-duty U.S. military personnel. If you receive sudden deployment or duty orders that force you to cancel a booked tour, we have a clear, straightforward process to handle your situation with the respect it deserves.

This post outlines exactly what documentation we need to process a full refund or credit for you. Our goal is to remove any financial stress from an already stressful situation, so you can focus on what matters.

1. Our Standard Cancellation Policy vs. Military Exceptions

First, let's be clear about our standard policy, which applies to all cancellations not covered by a military exception. For our multi-day tours like the 2-Day, 3-Night Grand Canyon Tour, the policy is:

This policy is designed to be fair, as guides, hotels, and permits are booked in advance. However, we recognize that military duty is not a voluntary cancellation.

2. Qualifying for a Military Cancellation Exception

To qualify for a full refund or credit due to military orders, you must meet two conditions:

  1. You must be an active-duty member of the U.S. Armed Forces (including Army, Navy, Air Force, Marine Corps, Space Force, Coast Guard, and activated National Guard or Reservists).
  2. You must provide official documentation proving you received orders that conflict with your scheduled tour dates.

This exception applies to all our group tours, from the Grand Canyon Day Tour from Las Vegas to our longer multi-day adventures.

IMPORTANT We accept official documentation that shows:
* Your name. * The official issuing authority (e.g., command name). * The effective date of the orders that conflict with your tour. * The nature of the orders (e.g., deployment, temporary duty assignment, training).

3. Official Documentation We Accept

To process your request swiftly, please provide one of the following types of documentation. A clear photo or scanned PDF is perfectly acceptable.

Document Type What It Should Show Notes
Official Deployment/TDY Orders The standard orders form (often DD Form 1610 or similar) with your name, effective dates, and issuing command. This is the most direct and preferred documentation.
A Letter from Your Commanding Officer On official letterhead, stating your name, the conflict with your tour dates, and the reason (e.g., sudden deployment). Must include the CO's signature and contact information. We may follow up to verify authenticity.
Duty Roster or Manning Documents Official documents showing an unplanned assignment shift that places you on duty during your scheduled leave/tour period. Should clearly show your name and the dates in conflict.

4. How to Submit Your Documentation

When you message us, please provide:

  1. The name used to make the booking.
  2. Your scheduled tour date.
  3. A clear image or file of your official documentation.

We will review it and confirm your refund or tour credit options usually within one business day. We treat all documentation with strict confidentiality.

5. Refund vs. Future Tour Credit

Once your documentation is verified, you can choose one of two options:

Frequently asked

Do family members of a deployed service member also qualify for this exception?

The military exception is specifically for the service member who receives orders. If a family member booked a tour and must cancel because their spouse/parent is deployed, our standard cancellation policy would apply. I am a veteran or retired military. Does this policy apply to me?

This specific exception is for active-duty personnel who receive sudden, official orders. For retirees, veterans, or other cancellations, our standard published cancellation policy applies. We thank you for your service.

What if my orders are modified or canceled after I've already received a refund?

If your situation changes and you'd like to rebook, you are always welcome to do so as a new booking at the current tour price and availability. The refund or credit issued under the military exception is final for that original booking.

I'm on leave and have orders in hand, but I'm worried they might be changed. Should I still book a tour?

We understand that concern. If you have approved leave and want to book, we recommend doing so and ensuring you have travel insurance that covers trip interruption. You can also message us to discuss the timing. If official orders are later issued that directly conflict with your tour, you would then be able to submit those new orders under this policy.

Can I use this policy for last-minute training or exercises I'm voluntold for?

Yes, if it is an official, mandatory order from your command that conflicts with your tour dates. The documentation should reflect that the duty is mandatory and not a voluntary assignment. A letter from your CO or official duty roster would be appropriate in this case.
