As a parent and a tour operator, I know how stressful it is when your child gets sick right before a long-awaited family trip. The excitement turns into worry, and the logistics of canceling a tour can feel overwhelming. You’re not just managing a reservation; you’re caring for your family.
At Parang Tour, we’ve built our cancellation policies with real-life situations in mind, including last-minute illnesses. While our standard terms are firm to ensure we can operate for other guests, we do have a specific process for documented family emergencies that allows for some flexibility. This guide will walk you through exactly what to do, what you need to provide, and what to expect if your child falls ill within 48 hours of your Grand Canyon or West Coast tour departure.
1. Understanding Our Standard Cancellation Policy
First, it’s important to know the baseline. Our standard refund policy is clearly stated on every tour page, like our popular 2-night, 3-day Grand Canyon tour. This policy applies to all cancellations, regardless of reason.
| Days Before Departure | Refund Amount |
|---|---|
| 30 days or more | Full refund (100%) |
| 20 to 29 days | 20% refund |
| 8 to 19 days | 30% refund |
| 3 to 7 days | 50% refund |
| Within 2 days (48 hours) | Refund is generally not possible |
This structure helps us manage vehicle reservations, hotel blocks, and guide schedules. The closer to the departure date, the more difficult it becomes for us to fill the vacant spot, which is why the refund percentage decreases.
2. The Process for a Last-Minute Family Illness (Within 48 Hours)
If your child becomes ill within the final 48-hour window, the standard policy states a refund is "difficult." However, we can offer a potential rescheduling option or a partial goodwill credit if you provide proper documentation. Immediate communication is critical.
Here are the steps you must follow:
- Contact Us Immediately via KakaoTalk. Do not wait. Send a message to our official KakaoTalk channel (https://pf.kakao.com/_LbUxbG) as soon as you know you cannot travel. State clearly that a child in your booking is ill and you need to discuss cancellation. Provide your booking name and date.
- Visit a Doctor or Clinic. For us to consider any exception, we require a doctor's note or a visit summary. This must be dated after the illness began and before your scheduled tour departure time. A note simply excusing a child from school is not sufficient; it must be from a medical professional.
- Submit Documentation. Email a clear photo or scan of the doctor's note to the address provided by our KakaoTalk staff. The note should include the child's name, date of visit, and a statement that the child is unfit for travel. We respect your family's privacy; you can obscure any detailed diagnosis, but we need to see the core information.
3. Possible Outcomes: Rescheduling vs. Credit
Once we receive and verify the documentation, we will discuss options with you. A full cash refund is almost never possible within 48 hours, as our costs are already committed. Instead, we focus on these solutions:
Rescheduling for a Future Date
This is our preferred and most common solution. We will work with you to move your booking to a future available date for the same tour, such as another departure for the 2-night Grand Canyon tour or a 1-day Grand Canyon tour from Las Vegas. A rescheduling fee may apply, but it is significantly less than a full forfeiture. All paid entrance fees and guide tips that were part of your original booking (like the Antelope Canyon fee) will be credited toward the new date.
Partial Goodwill Credit
In some cases, if rescheduling in the near future is impossible for your family, we may issue a partial credit toward any future Parang Tour service. This credit is offered at our discretion as a gesture of goodwill for providing timely and proper documentation. The amount is not guaranteed and is always less than the 50% refund available for cancellations 3-7 days out.
IMPORTANT: What Doesn't Qualify It's just as important to know what situations do not qualify for this documented illness process:
- Adult illness without a doctor's note.
- General family emergencies (car trouble, work conflicts, missed flights) that are not a child's medical issue.
- A note written after the tour date has passed.
- Fear of travel or change of plans. For these standard cancellations within 48 hours, our policy is firm, and we cannot offer rescheduling or credit. This fairness allows us to keep our tour prices stable and reliable for everyone.
4. Why We Can't Offer Full Refunds at the Last Minute
I wish we could make exceptions for every difficult situation. But as a small, responsible operator, we have fixed costs that are non-refundable to us. When you book a spot, we immediately reserve and pay for:
- Your share of the hotel room for the included night(s). These are often non-refundable 72 hours out.
- The vehicle and fuel for the entire journey.
- Our guide's scheduled time and salary.
- Pre-purchased entry permits, like those for Antelope Canyon which require a native guide. If we refunded in full, we would operate at a significant loss for that seat. Our small group model (4-12 people) means each booking is a larger portion of the tour's viability. Our standard policy, and the limited flexibility for documented child illness, is how we ensure Parang Tour remains in business to serve all our guests.
5. Planning Ahead: Travel Insurance and Early Communication
The best way to protect your investment is to consider travel insurance for unforeseen circumstances. Also, please communicate any concerns as early as possible. If you suspect an illness is coming on 4 or 5 days out, let us know. Canceling at the 7-day mark for any reason still qualifies for a 50% refund under our standard policy, which is much more manageable.
We created Parang Tour because we love sharing the beauty of the West Coast with families. We want your travel memories to be of the stunning views at Horseshoe Bend or the Milky Way over Page, not of stress and confusion. If the unexpected happens, please reach out immediately via KakaoTalk. We’re here to work with you through it.
