We know that feeling. You've planned your trip for months, packed your bags, and are ready for an adventure in the American West. Then, you get the notification: your flight is delayed. Your heart sinks as you realize you might miss the tour departure time.

This is one of the most stressful situations for any traveler, and we see it happen. At Parang Tour, we run small group tours that start on a strict schedule. While we can't hold the entire group for one person, we also don't want your trip to end before it begins. This guide explains exactly what happens, what your options are, and how we can work together to find a solution.

1. Our Standard Departure Policy: Why We Can't Wait

Our multi-day tours, like our popular 2-Day/3-Night Grand Canyon Tour, have a fixed morning departure time from the Los Angeles Koreatown area. For this tour, departure is between 8:00 AM and 9:00 AM.

Once the group is gathered, we hit the road. We cannot delay the departure for late arrivals for several important reasons:

If you are not at the designated pickup location by the final departure time, the tour will leave without you. This is our standard policy to ensure a smooth experience for the entire group.

If you suspect your flight will be delayed, or if you land and know you'll be late, contact us immediately. This is the single most important thing you can do.

3. Recovery Options: How We Can Help You Catch Up

Depending on how late you are, where the tour group is headed, and tour availability, we may be able to help you rendezvous with the group. Here are the most common scenarios and solutions.

Scenario A: Minor Delay (A Few Hours)

If your delay is relatively short (e.g., 2-4 hours), and the first day's itinerary involves stops closer to LA, we might be able to arrange for you to meet the group at a later stop. For instance, on the A-Course of our 2N3D tour, the first stop is often for lunch in Barstow. In some cases, we can guide you to meet us there via a rental car or other transport. This is assessed case-by-case.

Scenario B: Major Delay (Missing the First Day)

This is more common. If you cannot reach LA until the afternoon or evening of the first tour day, you have likely missed the group's journey to Las Vegas or the first canyon destination.

Option 1: Join the Tour En Route (For Multi-Day Tours) For tours like the 2N3D, you can arrange your own transportation (e.g., a one-way rental car or a flight) to the group's first overnight location. For the A-Course, this is Las Vegas. For the B-Course, this is Williams City near the Grand Canyon. You would meet the group at the hotel in the evening and join the tour from Day 2 onward.

Important Note: You are responsible for the cost and logistics of catching up to the group. We will provide the hotel name and expected arrival time to facilitate this.

Option 2: Switch to a Later Tour Date If we have availability on the same tour departing on a later date, we may be able to transfer your booking, subject to our cancellation policy (see below).

Option 3: Switch to a Shorter Tour from a Different Point If catching up isn't feasible, we might discuss switching your booking to a different tour. For example, if you can get to Las Vegas, you could join our Grand Canyon Day Tour which departs from Vegas at midnight. The price difference would be adjusted according to our policies.

4. Cancellation, Refunds, and Cost Implications

Our standard cancellation policy applies to missed departures due to flight delays. We strongly recommend purchasing travel insurance that covers trip delays and interruptions.

If you miss the departure and cannot join the tour, it is considered a same-day cancellation. Therefore, no refund would be issued for the missed tour days, as per the policy above. Any potential refund or credit for future travel would be handled on a case-by-case basis as a goodwill gesture, not a guarantee, and would depend on our ability to fill your spot or offer an alternative.
