Deployed Last Minute: Our Policy for Active-Duty Military with Sudden Orders

2026.10.28·5 min read

Planning a trip to the Grand Canyon or the American West Coast is an exciting break from duty. But for active-duty military personnel, those plans can change in an instant with unexpected deployment or training orders. We understand that completely. Your service comes first, and the last thing you should worry about is losing money on a tour you can no longer take.

At Parang Tour, we have a clear, respectful policy for service members who need to cancel due to official military orders. This post outlines the simple process, the documentation we need, and how we ensure you get a full refund outside of our standard cancellation schedule. We want to make this one part of your sudden transition as stress-free as possible.

1. Our Standard Policy vs. The Military Exception

First, it's helpful to understand our standard cancellation policy, which applies to all guests. You can see the full details on any of our tour pages, like our popular 2-night, 3-day Grand Canyon tour.

The standard policy is based on how many days before the tour departure you cancel:

Days Before Departure Refund Amount
30 days or more Full Refund (100%)
20 to 29 days 20% Refund
8 to 19 days 30% Refund
3 to 7 days 50% Refund
2 days or less No Refund

This policy is designed to be fair, as guides and hotels are booked in advance. However, we recognize that military duties are non-negotiable and outside of personal control.

The Military Exception: If you receive official, sudden deployment, training, or duty orders that prevent you from attending your scheduled tour, we will issue a full 100% refund regardless of how close to the departure date you cancel. This exception supersedes the standard policy schedule.

2. Required Documentation for a Full Refund

To process the refund under this exception, we require a copy of your official orders. This is the only documentation we need. The orders must:

We do not need extensive details about your mission. We simply need the official notice that confirms the scheduling conflict. This protects the integrity of the policy for all service members.

IMPORTANT Please redact any sensitive operational information (e.g., specific locations, unit details, mission specifics) from the orders before sending. We only need to see the header, your name, and the dates.

3. The Step-by-Step Cancellation Process

If you receive orders, here is the simple process to follow:

  1. Notify Us Immediately: As soon as you know, contact us via KakaoTalk. This is the fastest way to reach us. Send a message to our KakaoTalk channel. Please include your booking name and the tour date.
  2. Provide Your Orders: Email a scanned copy or clear photo of your redacted official orders to the email address we provide via KakaoTalk.
  3. Confirmation & Refund: Once we receive and verify the documents, we will confirm the cancellation and initiate the full refund back to your original payment method. Processing times depend on your bank or card issuer, but we initiate it immediately.

There are no forms to fill out, and no lengthy explanations required. We handle it directly and respectfully.

4. What This Policy Covers

This policy applies to all active-duty U.S. military personnel with sudden official orders. It covers:

It does not cover personal schedule changes, leave cancellations, or changes of mind. The key is the official, unexpected military order.

5. Planning Ahead with Uncertainty

We know that sometimes your schedule can be tentative. If you are trying to plan a trip during a period where you might receive orders, here is our advice:

6. Our Gratitude for Your Service

This policy is a small way for us to say thank you. Steve, the owner and head guide at Parang Tour, built this company to help Korean-speaking travelers experience the profound beauty of the American West without the hassle of large, impersonal tours. Part of that mission is understanding the real lives of our guests. We know many in the Korean-American community serve, and we want to support you.

We hope you get the chance to join us on a tour when the time is right. Standing at the South Rim of the Grand Canyon or watching the light beam in Antelope Canyon is a experience of awe and perspective we'd love to share with you. Until then, stay safe.

If you have any questions about this policy before or after booking, please don't hesitate to reach out directly on KakaoTalk.

Frequently asked

I am active-duty military and just got deployment orders for next week. I have a tour booked for that time. What do I do?

Contact us immediately on KakaoTalk. Send us a redacted copy of your official orders via email, and we will cancel your booking and issue a full 100% refund, even though it's last minute.

What specific document do I need to send for the refund?

We need a copy of your official military orders (deployment, training, duty). Please redact any sensitive operational information. The document must show your name and the dates that conflict with your tour.

Does this policy apply to National Guard or Reserve members on sudden active orders?

Yes. The policy applies to any active-duty U.S. military personnel serving under official, sudden orders, including members of the National Guard and Reserves called to active duty.

My leave was canceled, but I don't have formal "orders." Does this qualify?

The policy specifically requires official orders (like deployment or training orders). Cancellation of leave by itself typically does not qualify unless it is part of a larger set of mobilization or deployment orders. Please contact us on KakaoTalk to discuss your specific situation.

I am a military spouse. If my spouse gets orders, can we cancel?

Yes. If the service member who is part of the booking receives orders, the policy applies to the entire booking. We would need a copy of the service member's orders.
