We've built our policies not just around schedules, but around people. If you need to cancel at the last minute due to a verifiable family emergency, here is our process, the documentation we can accept, and how we work with you to find a compassionate solution, including credit options for a future tour.

1. Our Standard Cancellation Policy

First, let's be clear about our standard terms. These are the baseline rules that ensure fairness for all our guests and allow us to manage our small group tours effectively. For all our tours, including the popular 2 Night 3 Day Grand Canyon Tour and the Grand Canyon Day Tour from Las Vegas, our policy is as follows.

This policy is clearly stated on every tour page. It's designed to be transparent and is strictly followed for standard cancellations. However, we recognize that a genuine family emergency is not a standard cancellation.

2. What Qualifies as a Verifiable Family Emergency?

We define a family emergency as an unforeseen, serious event involving an immediate family member (spouse, child, parent, sibling) that requires your urgent attention or presence, making your participation in the tour untenable. Common examples include:

General schedule conflicts, work emergencies, or minor illnesses typically do not fall under this compassionate exception. Our goal is to reserve this flexibility for the most urgent and difficult situations.

3. The Process and Acceptable Documentation

If a family emergency occurs, please contact us immediately via KakaoTalk. Speed is crucial, as it allows us to potentially manage the vacant spot. Here is the step-by-step process.

Step 1: Immediate Notification

Reach out to us on KakaoTalk as soon as you know you cannot travel. Provide your booking name and the tour date. Even if you don't have documentation yet, letting us know starts the conversation.

Step 2: Documentation Submission

We will need official documentation to process an emergency exception. We can accept copies or clear photos of the following:

The documentation must clearly link the emergency to your immediate family and be dated close to the tour departure date. We treat all submitted information with the utmost confidentiality.

4. Compassionate Solutions: Credits and Rescheduling

While our standard policy may limit cash refunds for last-minute cancellations, we offer flexible solutions for verified emergencies. Our primary goal is to help you travel when the time is right.

Option A: Full Tour Credit

For emergencies with valid documentation submitted before the tour departure, we can typically issue a 100% credit of the tour fare you paid. This credit can be applied to any future Parang Tour group tour, such as our Yosemite 1 Night 2 Day Tour or another Grand Canyon adventure. The credit is valid for one year from the date of issue.

Option B: Partial Refund Consideration

Depending on the specific circumstances and our ability to fill the vacancy, we may be able to offer a partial refund that is more favorable than the standard policy. This is evaluated on a case-by-case basis. Open communication is key.

IMPORTANT: Please note that any mandatory fees paid in cash to the guide on-site, such as entrance fees and tips, are not included in the tour fare and are therefore not eligible for credit or refund. These are collected on behalf of the parks and guides. The standard total for these fees for our 2-night tour is $235 per person, as listed on the tour page.

5. Why We Can't Always Offer a Full Cash Refund

We run small group tours with a maximum of 12 people. Last-minute cancellations, even for emergencies, have a real impact. Guides are scheduled, hotel rooms are blocked and often non-refundable to us, and vehicle costs are fixed. When a spot becomes empty within days of departure, it is very difficult to fill. The standard policy helps cover these sunk costs. Offering a credit allows us to support you without jeopardizing the operational stability that lets us provide great tours for everyone.

6. How to Prepare and Communicate

  1. Book with Confidence Early: Our 30-day full refund window gives you plenty of flexibility for most planning changes.
  2. Consider Travel Insurance: For peace of mind against unforeseen events beyond family emergencies (like personal illness, flight cancellations), we always recommend purchasing third-party travel insurance.
